burner, so it needs less maintenance than a boiler, but not none. This article explains what actually wears, what the owner can do, what the engineer must do and how often, and what the rules require. It applies to a home with an air-to-water heat pump and to a factory heated and cooled by a Kita Air.

What wears in a heat pumpHow often should a heat pump be servicedWhat the owner can doWhat the engineer doesWhat the rules requireHow long does a heat pump lastIn business: the Kita AirMistakes to avoidFrequently asked questions

01

What wears in a heat pump

The compressor is sealed and runs within its limits: it is not overhauled. The parts that need attention are the ones in contact with air and water: the outdoor coil, which collects leaves, dust and pollen and frosts up in winter; the fan; the condensate drain, which can block or freeze in winter; the system filter (dirt separator) and, in air-to-air units, the filter of the indoor unit. A dirty coil transfers less heat: the unit runs longer for the same result, defrosts more often and uses more electricity. It is the same mechanism we explain in the article on defrosting.

02

How often should a heat pump be serviced

Once a year, before winter, is the rule for a heat pump that only heats. If the same unit also cools in summer, like the Kita Air in factories, the manual calls for two checks a year, one per season. Where there is dust, chips, pollen or smog the coil needs checking more often: in a workshop or a joinery even every three months.

03

What the owner can do

Keep the outdoor unit clear: no leaves, long grass, snow or objects in front of the fan or behind the coil. Air has to flow.

Check that condensate drains away: in winter there should be water or ice on the ground under the unit, not inside it.

In air-to-air units, clean the indoor unit filter, which slides out without tools.

There is no need to check the water pressure of the system by hand: on our air-to-water units the machine measures it with a pressure transducer. If the pressure drops the heat pump raises an alarm; if it drops too far, it stops before running without water.

Do not bend the coil fins and do not use a pressure washer: the fins are sharp and, once bent, reduce output.

Before any work, switch off the main isolator: the unit can restart on its own.

Outdoor unit in front of a factory: free space all around and nothing on top, because air has to flow.

04

What the engineer does

The manual of our air-to-water units calls for, every 12 months: cleaning the coil fins, fan blades and grille with compressed air, blown along the fins; checking that the condensate drain is not blocked and cleaning the tray; checking and cleaning the magnetic dirt separator; leak testing the refrigerant circuit with a detector; checking the electrical connections; inspecting pipework for corrosion and leaks. Every 3 years the anti-vibration mounts. On the Kita Air the engineer also cleans the indoor unit coil and replaces the refrigerant safety valve every 4 years. On all units the engineer reads the alarm history and operating temperatures from the controller: that is where you see whether the unit has defrosted too often or worked outside its conditions.

The refrigerant circuit is not opened during routine maintenance. If work is needed, on propane R290 units the manual requires a refrigeration engineer qualified for flammable refrigerants (EN 378-4 or IEC 60335-2-40) and trained by us.

05

What the rules require

F-gas rules. They apply only to fluorinated gases. Our propane R290 air-to-water units are outside them: no periodic leak checks, no records. The Kita Air runs on R32, a fluorinated gas: in the EU (Regulation 2024/573) and in Great Britain the annual leak check and the records start above 5 tonnes of CO₂ equivalent, which is above 7.4 kg of R32. The Kita Air holds 7.4 kg and stays just below; the Kita Air Plus (8 kg) and the ducted version (8.4 kg) are above: one check a year by a certified engineer, with records.

National rules. Periodic inspections of heating systems differ from country to country: in Italy, for example, every system needs a logbook and, from 12 kW, an efficiency check every 4 years. Used well means above all one thing: how hard the compressor has to squeeze, that is the ratio between outlet and inlet pressure. With well-sized underfloor heating the water runs at 30-35 °C, the compressor works lightly and ages slowly. With radiators at 55 °C and hot water at 60-70 °C the pressure lift is higher and the compressor uses up its life faster; in the article on radiators we explain how to keep the flow temperature low.

Parts that wear, such as the fan, circulating pump, valves and sensors, are replaced. What shortens the life is years of running badly: a dirty coil, air or sludge in the system, an oversized unit that keeps starting and stopping. That is why correct sizing, which we cover in the article on the inverter, is also maintenance.

07

In business: the Kita Air

In a factory, maintenance is part of production: a unit that heats in winter and cools in summer works all year.
